Privacy Policy

1. Information we collect

• Account details — your name, email address and an encrypted (hashed) password; the workspace you belong to and your role.
• Financial documents you upload — bank statements (CSV, Excel, PDF, scans) and check images, and the transactions, balances, payees and descriptions extracted from them.
• QuickBooks Online data — if you connect QuickBooks, we store an encrypted access token, your company ID and name, and the list of accounts needed to post transactions. We only read your chart of accounts and create, read or delete the expenses and deposits you ask us to sync.
• Billing information — subscription plan, seat count and payment status. Card details are collected and stored by Stripe, not by us.
• Technical data — IP address, browser type and request logs used for security, rate limiting and troubleshooting.

2. How we use information

We use your information only to provide Bank Analyzer: parsing and classifying statements, producing analysis and exports, syncing to QuickBooks at your request, billing, securing accounts, and supporting you. We do not sell personal or financial information and do not use it for advertising.

3. AI processing

To read scanned statements, check images and unfamiliar statement layouts, document images or sample rows may be sent to an AI model provider for processing. They are processed only to return the extracted data to you and are not used by us to train models.

4. Sharing

We share information only with service providers that help us run Bank Analyzer (cloud hosting, AI document processing, Stripe for payments, Intuit when you connect QuickBooks), with members of your own workspace according to their role, or when required by law. Each provider may use the data only to provide its service to us.

5. Security

Data is transmitted over HTTPS. Passwords are hashed, QuickBooks tokens are encrypted at rest, each workspace's data is kept separate, and sign-in attempts are rate-limited. No system is perfectly secure; tell us immediately at thesmithgroup824@gmail.com if you suspect unauthorized access.

6. Retention and deletion

We keep your data while your account is active. You can delete uploaded statements at any time; deleting an upload removes its transactions. To close your account and delete all workspace data, email thesmithgroup824@gmail.com and we will complete it within 30 days, except where the law requires us to keep records.

7. Your rights

You may request access to, correction of, export of, or deletion of your personal information, and you may disconnect QuickBooks at any time from the Exports page or from within QuickBooks. Depending on where you live (for example California or the EU/UK) you may have additional rights; contact thesmithgroup824@gmail.com to exercise them.

8. Children

Bank Analyzer is a business tool and is not directed to children under 16.

9. Changes

We may update this policy. We will post the new version here with a new effective date and, for material changes, notify workspace owners by email.
